How do you stop phone tag with customers?

By Frank ·

Short answer

Get the details in writing before anyone picks up the phone. Ask the customer for the rego, a clear description of the problem, a few photos and a short video, all in one place. Send the quote where they can read and accept it in their own time. Fewer calls, fewer missed calls, and nothing lost in a voicemail.

Why phone tag costs a workshop

Every missed call is a job that waits. The tech gets pulled off the hoist to call back, the customer is at work and can’t pick up, and by the third try nobody remembers whether it was the front brakes or the back. Details passed on by phone get lost, and the quote ends up being a guess.

What to ask for up front

  • The rego and state. It pins down the exact vehicle, so you’re not guessing the engine or brake set-up.
  • What happens, and when. “Squeals when braking, only in the morning” tells you far more than “brakes are noisy”.
  • A few photos. The problem up close, plus one wider shot so you can see where it is.
  • A short video for noises. A rattle or a knock is easier to judge when you can hear it.
  • How they’d like to hear back. Some people want a text, some an email. Asking once saves chasing later.

Send the quote in writing

A written quote can be read on a smoko break, shown to a partner and accepted at 9pm without anyone ringing the workshop. It also gives you both a record of what was agreed, which makes the conversation at pick-up a lot easier.

When a phone call still makes sense

Pick up the phone when it’s a safety issue, when the job is big enough that the customer will want to talk it through, or when they simply prefer it. Having the details in writing first means that call is shorter and more useful.

How Frank does it

Customers send their request from your workshop’s own Frank link, on their phone. Frank looks up the vehicle from the rego and state, and the photos and video arrive with the job. When you send the quote, the customer sees it with your tech’s name and accepts it from the same link.

Questions

Will customers really send photos?
Many will if it’s easy to do from their phone and you tell them why it helps.
Do I still need to call the customer?
Sometimes. Call for a safety issue, a big job, or when the customer would rather talk. The written details make that call shorter.
Does Frank replace my phone?
No. Frank collects the request and sends the quote. You can still call whenever you need to.
